Foundation Administrative Manager

FLSA Status:             Exempt

Location:                    Tampa, FL

Objective

Manages all administrative aspects of the Tampa Bay Chamber’s Foundation programs to include data entry and administrative duties.

Responsibilities

  • Provides support to the Minority Business Accelerator and Minority Empowerment Program through metric collection and impact data analysis
  • Assist with Collegiate Leadership Tampa Bay and Leadership Tampa Program planning
  • Process and prepare Collegiate Leadership Tampa Bay and Leadership Tampa Program candidate applications
  • Assist with Emerging Leaders and Leadership Tampa Alumni membership renewal, retention, and database entry
  • Assist with processing vendor invoices and expenses
  • Coordinate with outside vendors for Foundation Programming needs
  • Create, track and review survey feedback for all Leadership Programs
  • Create and update events and committee meetings within database for all Leadership Programs
  • Prepares meeting notices, agendas, materials, and minutes as assigned by the Foundation’s Directors
  • Inputs agenda, minutes, and attendance in database as assigned by the Foundation’s Directors
  • Documents all process and procedures as necessary related to job duties and responsibilities
  • Embodies Vision 2026 in all activities and responsibilities
  • Assist with Chamber events as assigned
  • Other duties as assigned

Specifications

  • Bachelor’s Degree required, or commensurate with experience
  • 3 -5 years program administration experience preferred
  • Non-profit/membership association experience preferred
  • Experience with database management
  • Excellent written and oral communication skills
  • Ability and confidence to communicate with members
  • Excellent organizational skills
  • Must conduct yourself in a professional manner
  • Ability to multi-task and work in a changing and fast-paced environment is necessary as part of a team
  • Able to perform job function with minimum daily supervision
  • Proficiency in using Microsoft Office Suite and virtual technology programs
  • Ability to learn and effectively and efficiently use Chamber management and database software
  • Committed to service excellence in all areas

Relationships/Accountabilities

  • Accountable to staff members by ensuring their support needs and requests are met timely, efficiently, and accurately in a friendly, engaged, and professional manner.
  • Accountable to members and volunteers by ensuring their needs are met and questions answered in a timely, friendly, engaged, and professional manner.
  • Accountable to the Director, Minority Business Accelerator, Senior Director, Leadership Programs, Director, Leadership Programs, and Director, Military and Workforce Development and other team members by ensuring that all tasks and duties are completed accurately by the specified deadline.
  • Works cooperatively and positively with all Chamber staff members and volunteers to promote an environment of excellence, teamwork, dignity, and respect.
  • Exhibits a total commitment to maintaining high quality service standards of the Tampa Bay Chamber; demonstrates service excellence skills in dealing proactively with members, visitors, colleagues, and all Chamber contacts.
